At MindBoxx (“Company”, “we”, “our”, “us”), we are committed to delivering exceptional technology, software, marketing, and design solutions to our clients. Each project we undertake requires significant planning, resource allocation, and dedicated effort from our team from the very beginning. To ensure clarity and transparency, this Refund & Cancellation Policy outlines our terms regarding payments, refunds, and cancellations. By engaging with our services, you agree to the terms detailed below.
1. Project Initiation & Payment Terms
Once a project is confirmed and the initial payment is received, our team immediately begins the planning, resource scheduling, and execution phases. This involves allocating in-house professionals, setting up development environments, and initiating design or coding work. As such, all initial payments made are non-refundable under any circumstances.
2. Change of Mind After Project Start
If you choose to cancel or withdraw from a project after work has commenced, we will not be able to offer a refund for payments made. This is due to the time, effort, and resources already invested in the project. However, in certain cases, we may provide you with a credit note that can be applied towards future services within a specified validity period, at our sole discretion.
3. Scope Changes & Additional Costs
Requests for changes in scope, design, or functionality after project initiation may result in additional costs and revised timelines. Such changes will require mutual agreement and written approval. Payments already made towards the original scope will not be refunded.
4. Digital Products & Licenses
For any digital products, custom-developed software, or licensed tools purchased on your behalf, all sales are final. These items are non-returnable and non-refundable due to the nature of digital delivery and licensing restrictions.
5. Third-Party Services
If your project requires the purchase of third-party services or software (e.g., hosting, domains, premium plugins, API subscriptions), these costs are non-refundable. The terms and conditions of these third-party providers will apply separately and are beyond our control.
6. Project Delays & Client Responsibilities
Delays caused by the client—such as late approvals, incomplete information, or lack of timely feedback—do not qualify for refunds or cancellations. It is essential that you provide all necessary content, materials, and approvals within agreed timelines to avoid disruption to the project schedule.
7. Refunds for Unused Prepaid Services
If you have prepaid for services that have not yet been initiated, a partial refund may be considered after deducting administrative and resource allocation costs. Approval of such refunds is entirely at our discretion.
8. Quality Assurance & Disputes
We follow a structured quality assurance process before final delivery. If you believe the delivered work does not match the agreed specifications, you must notify us in writing within seven (7) days of delivery. We will review the matter and, if applicable, provide revisions as per the project agreement. Refunds will not be issued for dissatisfaction arising from subjective preferences (e.g., design taste).
9. Cancellation by MindBoxx
In rare circumstances, MindBoxx may find it necessary to cancel a project due to unforeseen reasons, such as violation of our Terms & Conditions or non-cooperation from the client. In such cases, we may provide a prorated refund for any work not yet completed, after deducting costs for completed phases.
10. Policy Updates
We reserve the right to modify or update this Refund & Cancellation Policy at any time without prior notice. The updated version will be published on our website, and continued use of our services will constitute your acceptance of the revised policy.
